An Introduction to Tracking in Microsoft Project

Once you start using Microsoft Project you’ll soon be setting up new projects using the default Gantt Chart view, with the Entry table showing on the left and the Gantt Chart on the right. Each project consist of a series of tasks with different durations, all linked together to build the overall project plan. In this process you would normally also set a project start date and Project displays all the linked tasks on the Gantt Chart and determines the project end date. Alternatively you can set the project end date and Project displays all the linked tasks and determines the project start date.
You would normally view your project tasks on the right hand Gantt Chart, on a calendar time line, so you can scroll the Gantt Chart to the right or left to display tasks further forward or further back in time. You can also zoom out or in on the Gantt Chart to show more or less days in the display. Alternatively you can view tasks data in the left hand Entry table, which looks a bit like an Excel spreadsheet with its rows and columns layout. Each table row shows details for one task, such as start time, end time and duration. You can edit task data in this table or on the Gantt Chart.
A really useful feature of Project is that you can track your project once it actually starts. Project’s tracking facility lets you see actual progress against the original plan on a task by task basis and the benefit is that you can spot any differences quickly and adjust your plan if necessary.
To begin tracking you first completed your project plan. Maybe you consult some people involved in the project, and perhaps you’ve revised some task details as a result. Once you’re happy with these revisions you decide that your grand project plan is finally finished. So in Project you save this as a baseline plan. Project then uses this baseline plan as a reference against which you can record the actual project progress.
It’s useful to switch to the Tracking Gantt view to do this as the Gantt Chart then shows two sets of tasks in the right hand view rather than one. You’ll see the baseline tasks in grey representing your completed plan. You then record actual project progress on a task by task basis. Function of Project Manager and Web Based Project Management

The project manger has a vital role in the execution of a project. Increasing business demands have made the role of a project manager essential and complex than ever before. A project manger needs to possess certain characteristics.
A project is managed through five process groups. They include initiation, planning, execution, monitoring, and controlling. The final step is the closure of a project. The initiation of a project refers to proper and channelised allocation of resources. It is followed by planning. It refers to the identification of the process through which the project has to be executed. During execution, it is the responsibility of the project manger to monitor and look-after each step of the project. Under the supervision of the project manger, the project smoothly moves towards a fruitful closure.
Apart from the responsibilities of the project manager, some influencing factors need to be discussed. These factors include time, cost, and scope. A project manager has to consider, and cope with all these factors at every cost. He/she is responsible for developing an effective and productive project plan. He/she should be able to gain commitment on the project plan. A good project manager knows how to carry out the project with minimised scope creep. To accomplish his/her goal, he/she should be able to develop an efficient project team controlled by effective project control system. Practicing in all these steps, he/she should be able to proceed towards the efficient closure.
Additionally, good communication skills are very important in obtaining, and executing a project. So apart from all the above capabilities, he/she should also possess good communication skills to deal with his/her team, and the stakeholders. Moreover, a project manager should also possess good HR skills. These skills are critical for the efficient management of resources.
Many organisations employ desktop software applications as Microsoft Project and Microsoft excel to mange their projects. They may be helpful, but have some limitations. They are not sufficient for collaboration among many parties. At the least, they can facilitate the sharing of information through emails.
